Hanaseru Medical Co., Ltd. ("we", "us") handles personal information of users of MediFind Tokyo (the "Service") in accordance with Japan's Act on the Protection of Personal Information (APPI) and related guidelines, as follows.

Information you enter in the booking form: full name, date of birth, nationality, insurance type, symptoms / reason for consultation, current medications, visit location (hotel name and room number, etc.), contact details (WhatsApp number or email address), preferred time, and language.
Information from your communications with us via WhatsApp or email.
Automatically collected information: access logs (IP address, browser type, etc., recorded by our hosting provider).
Location: your device location used for the map is processed only within your browser to calculate distances. It is never sent to or stored on our servers.
Cookies & analytics: we use Google Analytics 4 (Google LLC) to understand usage and improve the Service. It uses cookies to collect browsing data (pages viewed, browser info, approximate region) which is transmitted to Google (USA). This data does not identify you personally. Handling follows Google's privacy policy, and you can opt out via the Google Analytics Opt-out Add-on. We do not use advertising cookies.
Information about your symptoms, reason for consultation and medications constitutes special care-required (sensitive) personal information under the APPI. We collect it only with your explicit consent given via the checkbox at the time of form submission.
Receiving and coordinating bookings for house calls and online consultations, and arranging doctors / partner medical institutions.
Contacting you (booking confirmation and guidance via WhatsApp or email).
Service security, fraud prevention and quality improvement.
Compliance with applicable laws.
Based on your consent, we share booking information including your symptoms with the doctor or partner medical institution in charge, to the extent necessary to prepare and provide your consultation.
Otherwise, we do not provide personal information to third parties except as required by law, or where necessary to protect life, body or property and your consent is difficult to obtain.
We use the following external services; this involves entrusting data handling to, or transferring data to, parties located outside Japan. By submitting the form you consent to this use.
Supabase Inc. (USA): storage of booking data (database server region: Japan).
Vercel Inc. (USA): hosting of the Service and access logs.
Meta Platforms, Inc. (USA): message exchange when you choose WhatsApp (subject to WhatsApp's own privacy policy).
Google LLC (USA): usage analytics via Google Analytics 4 (see Section 2).
If you choose email, messages pass through email service providers.
The United States may not have a comprehensive data protection regime equivalent to the APPI; we use these providers after reviewing their contractual and security safeguards (encryption in transit, access controls, etc.).
Personal information related to bookings is deleted no later than three years after your case is closed, unless a longer retention is required by law or for dispute resolution.
TLS encryption of communications.
Access control on the database (limited authorized staff; no direct external access).
Health information such as symptoms and medications is never included in internal notification emails.
You may request disclosure, correction, addition, deletion, suspension of use, or suspension of third-party provision of your personal information. Contact info@hanaseru-medical.com. We will respond without undue delay after verifying your identity. Quoting your booking reference (MF-xxxx) helps us process your request smoothly.
If you are a minor, please use the Service with the consent of a parent or legal guardian.
We may revise this policy in response to legal changes or changes to the Service. Material changes will be announced on the Service. The revised policy takes effect when posted.
